Biometric Attendance Machine: Types, Prices and How to Choose
Fingerprint, face, card or palm? Price ranges seen in India in October 2026, a dealer checklist and a 40-person office cost example.

Short answer: a biometric attendance machine records when each employee comes in and leaves using a fingerprint, face or palm scan, often with an RFID card or PIN as a backup. In October 2026, basic fingerprint machines were listed on IndiaMART and dealer sites from about ₹2,500 to ₹7,000, face-and-fingerprint models from about ₹6,500 to ₹15,000, and AI face terminals from about ₹15,000 to ₹32,000. Pick the type that suits your workers' hands and work area, then check capacity, cloud push, battery backup and warranty before you pay.
This buyer guide compares fingerprint, face, card and palm machines, shows the price bands we saw, gives a checklist to take to your dealer, and works out the cost for a 40-person office.
Which type of biometric attendance machine should you buy?
Most machines sold in India combine two or three methods: a fingerprint sensor, a camera for face recognition, an RFID card reader and a keypad for a PIN. The main choice is which method your staff will use every day.
| Type | How staff punch | Works well for | Watch out for |
|---|---|---|---|
| Fingerprint | Press a finger on the sensor | Offices, shops and clinics with clean, dry hands | Worn, cut, oily or dusty fingers (construction, kitchens, workshops) can fail to read; the sensor needs regular cleaning |
| Face | Look at the camera | Factories, kitchens and any place where hands are dirty or gloved; touch-free | Strong sunlight behind the person, poor lighting and caps or helmets can slow recognition |
| RFID card | Tap a card on the reader | Large gates with fast entry, or as a backup for people whose fingerprint doesn't read | Anyone can punch with a colleague's card (buddy punching), so card-only is weak proof |
| Palm | Hold the palm in front of the reader | Contactless entry where face is not wanted; dusty or greasy work | Fewer models and dealers, and usually costlier than fingerprint |
For a small office, a fingerprint machine with a card reader is usually enough. If more than a few people have hands that won't read, or you want contactless punching, a face-plus-fingerprint machine costs only a little more at the entry level.
Is face recognition better than fingerprint?
Not always. Face is faster for dirty or gloved hands and avoids shared touch, but cheaper face units hold only a few hundred faces; eSSL's MB20, for example, lists 500 faces and 2,000 fingerprints (eSSL MB20 specifications). If you have more staff than that, look at a larger face terminal.
How much does a biometric attendance machine cost in India?
These are approximate ranges seen on IndiaMART listings and Indian dealer sites in October 2026. Prices vary by seller, city and bundle, and some listings exclude GST, so treat them as a guide and get two or three quotes.
| Machine type | Approximate price seen (Oct 2026) | Examples on listings |
|---|---|---|
| Basic fingerprint + card/PIN (LAN, USB) | ₹2,500 to ₹7,000 | CP Plus CP-VTA-F1043 and T2324-U, eSSL K30 and K90 Pro (IndiaMART: CP Plus, IndiaMART: eSSL) |
| Fingerprint with Wi-Fi or larger capacity | ₹7,000 to ₹15,000 | eSSL E9C Wi-Fi, ZK F22 Wi-Fi, eSSL X990 with Wi-Fi (IndiaMART, dealer listing) |
| Entry face + fingerprint + card | ₹6,500 to ₹15,000 | eSSL MB20, CP Plus CP-VTA-M1143 (dealer listing) |
| AI face terminal (larger screen and capacity) | ₹15,000 to ₹32,000 | eSSL AiFace Mars, AiFace Jupiter, SFace900 (IndiaMART) |
| Palm recognition | ₹7,000 to ₹25,000 for most; premium palm-vein units much higher | ZKTeco SA50, eSSL P160 (IndiaMART: palm readers) |
| Card-only reader | About ₹3,000 to ₹5,000 | Proximity card time attendance units; cards about ₹6 to ₹25 each (IndiaMART: RFID cards) |
The same model can show very different prices: we saw the eSSL MB20 listed from about ₹6,500 to ₹14,699 depending on the seller and bundle. A higher price often includes a year of cloud software, a battery or UPS, installation or an access-control lock kit, so compare like for like.
What is usually not in the box price?
- Battery or UPS: some models have one built in (eSSL lists an inbuilt battery on the K90 Pro), others sell it as an option.
- RFID cards for staff and spares.
- Installation and network cabling, which dealers often quote separately.
- Software after the first year, if the machine comes with a bundled cloud plan.
- Door lock, exit switch and power supply, if you also want access control.
What should you check before buying a biometric attendance machine?
Take this checklist to the dealer and ask each question in writing. The answers matter more than the brand name.
| Check | Question to ask the dealer | What a good answer looks like |
|---|---|---|
| User capacity | How many fingerprints, faces and cards does it hold? | At least 2 to 3 times your headcount, so you can enrol two fingers each and grow |
| Log capacity | How many punches does it store before it is full? | Enough for a year or more of punches (see the worked example below) |
| Connectivity | LAN, Wi-Fi or 4G? Does it support push data (ADMS or cloud server) to an online app? | Push supported, with the cloud server address and port set on the device |
| Power backup | Is a battery built in? How long does it run in a power cut? | Built-in battery, or a UPS included in the quote |
| Location | Indoor only, or rated for outdoor use? | Under a roof indoors is fine; at an open gate, an IP65-rated unit |
| Software | Which software works with it? Is it free? Can I export raw punches to Excel or another app? | Free desktop software plus raw log export; no single-vendor lock-in |
| Warranty and service | How long is the warranty? Who repairs it, where, and how fast? | At least 1 year in writing, with a local service centre or dealer support |
| Total price | Is GST included? Are cards, battery and installation included? | One written quote with every item listed |
How much capacity do you need?
Two numbers matter: how many people (templates) the machine holds, and how many punches (logs) it stores. eSSL lists the K90 Pro at 800 fingerprints, 800 cards and 80,000 transactions (eSSL K90 Pro).
For a 40-person office where people punch 4 times a day (in, out for lunch, back from lunch, out) for 26 days, that is 40 × 4 × 26 = 4,160 punches a month. 80,000 ÷ 4,160 ≈ 19 months of storage, and 40 people × 2 fingers = 80 templates, well within 800. If the machine pushes punches to a cloud app every few seconds, log capacity matters even less, because the data is safe off the device.
Does the machine need Wi-Fi or a computer?
Older setups pull punches over LAN into desktop software on an office PC, such as eSSL's eTimeTrackLite, so the PC has to be on and connected. Newer machines can push each punch to a cloud server over LAN or Wi-Fi; eSSL lists push data on models such as the E9C Wi-Fi (USB, TCP/IP and Wi-Fi) and lists ADMS as a standard function on the AiFace Magnum.
If you want a mobile app for owners or staff, ask for push or ADMS support specifically, not just "Wi-Fi". Wi-Fi alone only means the machine can join your network. For sites without a fixed internet line, some models offer 4G as an option; Mantra lists GPRS/3G/4G as optional on its BioNIC FPX.
Can you install it outdoors?
Most office machines are rated for indoor use; eSSL lists an operating range of 0°C to 45°C for the K90 Pro and MB20. For an open factory gate, look for an IP65 rating; eSSL describes its MA500 as "IP65 waterproof, ideal for outdoor installation" (eSSL MA500). A rain hood or metal enclosure helps too, and keep face terminals out of direct sunlight.
How do you avoid software lock-in?
Some dealers bundle the machine with "1 year cloud software and mobile app for up to 50 employees". That is useful, but ask what the renewal costs after year one and what happens if you grow past 50 people. Before you buy, confirm that the machine can push to other cloud apps or at least export raw punches (ID and date-time) to Excel, so you can change software later.
Cost example: biometric attendance for a 40-person office
Take a 40-person office in one building with good Wi-Fi, a six-day week and a few staff whose fingerprints don't always read. The device price below is an assumption from the middle of the October 2026 listing bands; your dealer quote will differ.
| Item | Option A: fingerprint + desktop software | Option B: face + fingerprint with cloud push |
|---|---|---|
| Machine | ₹6,000 (fingerprint + card, inbuilt battery) | ₹12,000 (face + fingerprint + card, push data) |
| RFID cards (50, incl. spares, at about ₹12) | ₹600 | ₹600 |
| Software | Free desktop software; an office PC must stay on | Cloud attendance app, e.g. 40 users × ₹50 = ₹2,000 a month plus GST |
| First-year total | About ₹6,600 plus installation | ₹12,600 + ₹18,000 software (9 paid months after a 3-month free period) = ₹30,600 plus GST and installation |
| Who prepares the monthly attendance | HR exports punches and works it out in Excel | The app applies late, half-day and leave rules automatically |
The machine is the smaller part of the cost over time. The bigger question is how many hours your HR person spends each month turning raw punches into payable days; if that is a day or more, software that does it for you usually pays for itself. If you stay with Excel, our attendance sheet in Excel template shows a clean layout and formulas.
Which biometric machine suits an office, school or factory?
| Workplace | Suggested type | Why |
|---|---|---|
| Small office or shop (under 50 people) | Fingerprint + card with built-in battery and push | Low cost, enough capacity, card backup for hard-to-read fingers |
| School or college staff room | Face + fingerprint | Morning rush at one entrance; face is quick and touch-free |
| Factory or warehouse gate | Face or palm, IP65 if outdoors, with 4G if there is no LAN | Dirty or gloved hands, dust, open-air gates |
| Several branches | One push-capable machine per branch, all linked to the same cloud app | One monthly report across locations without collecting files from each PC |
| Field or site staff | No machine; phone check-in with location | People are rarely at one fixed gate |
For teams that don't sit at one site, read our guide to GPS and geofence attendance for field staff before buying hardware. Many small offices mix both: a machine at the office door and an employee attendance app for people who travel.
Using a biometric attendance machine with Aajar
Aajar's Business plan (₹50 per user per month) syncs fingerprint and face terminals from eSSL and similar brands that support ADMS or cloud push: you register the device by serial number, set Aajar's server address on the device and map each person's enrollment ID. No eTimeTrackLite PC or static IP is needed, and our guide to connecting an eSSL biometric device to a cloud app shows the steps. For machines without internet, or other brands, you can import the device's log (biometric ID and punch date-time).
Aajar takes the earliest punch as check-in and the latest as check-out, so repeated thumbs or lunch punches don't create errors, and the results flow into late marks, leave and payroll. Aajar is software only, so you buy the machine from your dealer; check with them that it supports push. Every plan is free for the first 3 months for organisations with up to 50 users; see Aajar pricing.
Frequently asked questions
Which biometric device is best?
There is no single best model. For a small office, a fingerprint machine with a card reader, built-in battery and cloud push is usually enough; for dirty or gloved hands choose face or palm, and for outdoor gates choose an IP65-rated unit.
How much does a biometric attendance system device cost?
In October 2026, listings on IndiaMART and dealer sites showed about ₹2,500 to ₹7,000 for basic fingerprint machines, ₹6,500 to ₹15,000 for face-plus-fingerprint models and ₹15,000 to ₹32,000 for AI face terminals. Software, cards, battery and installation can add to this.
How much does a biometric fingerprint device cost?
A basic fingerprint attendance machine with card and PIN was listed at about ₹2,500 to ₹7,000 in October 2026, and models with Wi-Fi or larger capacity at about ₹7,000 to ₹15,000. Compare whether GST, battery and software are included.
Can a biometric attendance machine work with a mobile app?
Yes, if the machine supports push data (ADMS or cloud server) and you use a cloud attendance app. Ask the dealer for push support specifically, since Wi-Fi alone doesn't mean the punches reach an app.
Do I need a computer to run a biometric attendance machine?
Only with desktop software such as eTimeTrackLite, where a PC pulls the punches. A push-capable machine sends punches straight to a cloud app, so no PC has to stay on.
